IIAIM is a Texas nonprofit corporation based in Houston, Texas, United States. IIAIM operates www.iiaim.com and is responsible for the personal information described in this notice. In this notice, “IIAIM,” “we,” “us” and “our” refer to IIAIM.

Scope
This notice applies to personal information that we collect through this website. It does not apply to other websites, even when we link to them.
Information we collect
- Contact form: Your name, email address, optional organization, the topic you choose and your message.
- Newsletter: Your email address, the date you confirmed your subscription and the version of the consent wording you accepted.
- Technical information: Our hosting provider records server logs, such as IP address, browser type and pages requested. These logs keep the website secure and working.
- Staff accounts: Staff and editors who sign in have user accounts. Members of the public cannot create accounts on this website.
We do not request, and we ask you not to send, health information or any other information about patients.
How we use information and our legal bases
We use personal information only for the purposes below. Where the European Union or United Kingdom General Data Protection Regulation applies, we rely on the legal basis stated for each purpose.
- To reply to your message: Our legitimate interest in responding to inquiries, or steps you ask us to take.
- To send the newsletter: Your consent. You may withdraw consent at any time.
- To keep the website secure: Our legitimate interest in preventing abuse. Our forms use limited technical signals to block automated spam.
- To meet legal obligations: Compliance with applicable law.
How long we keep information
- We delete contact messages automatically 12 months after they arrive.
- We delete unconfirmed newsletter sign-ups after 7 days.
- We delete your email address immediately when you unsubscribe.
- We keep backups for a limited period, after which they are overwritten.
How we share information
We disclose personal information only to service providers that help us operate this website. They act on our instructions under written contracts. Our current provider is Hostinger, which hosts this website and our email. If we engage a mailing service for our newsletter, we will name it here.
We do not sell or rent personal information. We do not share it for targeted advertising. We disclose information to others only when the law requires it, or when disclosure is necessary to protect the rights, safety or property of IIAIM or others.
International transfers
IIAIM works internationally. Our service providers may process your information in the United States and in other countries. Where the law requires, we rely on appropriate safeguards, such as standard contractual clauses.
Your rights
You may ask us to confirm whether we process your personal information. You may also ask us to give you access to it, correct it, delete it or provide a copy. You may object to or restrict certain processing, and you may withdraw consent at any time. We honor these requests wherever you live, subject to legal exceptions. We respond within 30 days.
We will not discriminate against you for exercising these rights. If you are in the European Economic Area or the United Kingdom, you may also lodge a complaint with your data protection authority.
Tracking and preference signals
We do not track visitors across other websites, and we do not sell personal information. Opt-out preference signals, such as Global Privacy Control, therefore do not change how we handle your information.
Children
This website is intended for adults and is not directed at children under 18. We do not knowingly collect information from children. If you believe a child has sent us personal information, please contact us and we will delete it.
Security
We protect information with encrypted connections (HTTPS), restricted access, two-step sign-in for staff, regular software updates and backups. No method of transmission or storage is completely secure, but we work to protect your information.
